Metro Casino Events, LLC ("Metro Casino Events," "MCE," "we," "us," or "our") is an event-services business based in Manassas, Virginia. You may contact us at [email protected] or 877-750-6387.

Scope of this policy

This policy applies to information collected through metrocasinoevents.com, our quote and pricing tools, our website AI assistant, email, telephone calls, and direct customer communications. It also applies to our planned customer-initiated SMS service when that service becomes available. It does not govern third-party websites or services that have their own privacy practices.

Information we collect

Depending on how you interact with us, we may collect:

• Name, email address, telephone number, and company or organization.
• Event information such as date, type, guest count, venue or location, timing, requested games, table selections, add-ons, notes, and other planning or quote details.
• Callback preferences and other contact or customer-service requests.
• Website assistant and SMS conversation content, including information the assistant extracts to help prefill a quote form for your review.
• Information you provide during calls, by email, or in other direct communications.
• Technical information such as browser and device information, user-agent data, security and rate-limiting data derived from an IP address, request identifiers, interaction events, and analytics or advertising identifiers.

Sources of information

We collect information directly from you through website forms, the website AI assistant, planned SMS conversations, calls, email, and other communications. We also receive technical and usage information through browser storage, cookies, analytics, advertising technologies, hosting systems, and security tools.

How we use information

We may use information to:

• Respond to inquiries and provide requested information.
• Prepare estimates and quotes and help plan or deliver event services.
• Provide customer support, callbacks, and human escalation.
• Generate AI-assisted responses and prefill quote information for your review.
• Send limited follow-ups related to a customer’s original SMS inquiry.
• Detect spam, fraud, abuse, and security threats and enforce rate limits.
• Understand site performance, measure advertising, and improve our services.
• Maintain business records and meet legal, contractual, and operational obligations.

The website assistant may help place information into a quote form, but it does not submit the form for you. You must review the form and choose to submit it.

Quote storage and delivery

A website quote request or pricing-estimator lead that our site accepts is stored in our business database. Quote information may also be delivered by email to Metro Casino Events and, for a full quote request, to the email address supplied by the customer. Submitted records may include quote details, assistant-provided information, an assistant transcript, a request identifier, browser information, and a salted hash derived from an IP address when that security feature is configured.

How we disclose information

We may disclose information:

• To service providers that process information on our behalf, such as hosting and infrastructure, database, communications, email, AI, security, analytics, and advertising providers.
• To professional advisers, government authorities, courts, or other parties when reasonably necessary to comply with law, protect rights and safety, investigate misuse, or establish or defend legal claims.
• In connection with a merger, financing, acquisition, reorganization, sale of assets, or similar business transaction, subject to appropriate protections.

Depending on the features that are enabled, providers may include Vercel for hosting, Cloudflare for network and video services, Neon or another PostgreSQL provider for stored business records, Resend for email delivery, Anthropic for AI-assisted website responses, Google services for analytics and advertising, a configured rate-limiting or operational alert provider, and RingCentral for the planned SMS service. A named provider may change, and an optional integration is used only when configured or when its related service is operating.

SMS privacy

Mobile information, mobile opt-in data, and text-message consent will not be shared with third parties or affiliates for their marketing or promotional purposes.

We may allow communications and technology service providers to process mobile information strictly as needed to operate, secure, and deliver communications that you request. This service-provider processing does not permit those providers to use your mobile information for their own marketing or promotional purposes.

Cookies, analytics, advertising, and browser storage

Our site uses Google advertising technology and may use Google Tag Manager and related analytics services when configured. These services may use cookies, device or browser identifiers, pixels, or similar technologies to measure site activity and advertising performance. Your browser or device settings may allow you to block or delete cookies or limit certain advertising identifiers, although doing so may affect some functionality.

The quote journey and website assistant use browser session storage to preserve form progress and recent chat history during the current browser session. This information is generally cleared when the browser session ends, when you reset the quote journey, or after a successful submission, depending on the feature.

Data retention

We retain information for as long as reasonably necessary for the purposes described in this policy, including responding to inquiries, preparing and delivering services, maintaining business and security records, resolving disputes, and meeting legal or operational obligations. Retention varies according to the type of information and why it was collected.

The active conversational context for the planned SMS assistant is expected to reset after approximately 24 hours of inactivity. Durable SMS conversation and business records may be retained longer. Metro Casino Events has not yet established a fixed deletion schedule for SMS conversation records, so those records may currently be retained without a set end date while a formal purge policy is developed.

Data security

We use reasonable administrative, technical, and organizational measures intended to protect information. No website, transmission, or storage system can be guaranteed to be completely secure, and we cannot promise absolute security.

Your choices

• Reply STOP to opt out of automated SMS messages.
• Reply HELP for SMS assistance or request a human at any time.
• Contact [email protected] to ask a privacy question or request that we review, correct, or delete information, subject to applicable legal and recordkeeping requirements.
• Use your browser or device controls to manage cookies and advertising identifiers.

Children’s privacy

Our website and communications services are intended for people arranging or inquiring about events and are not directed to children. We do not knowingly solicit personal information from children through these services. If you believe a child has provided information to us, please contact us so we can review the situation.
